REPORTS TO: Chief Development Officer
PRIMARY FUNCTION: The Membership Manager oversees the organization’s membership program, including renewal processes, acquisition and retention strategies, and the implementation of membership benefits and programming to meet revenue and engagement goals. This role serves as the primary point of contact for members and is responsible for delivering an exceptional level of customer service.
The Membership Manager maintains accurate membership records, coordinates and promotes member events and benefits, and demonstrates a strong understanding of philanthropy and donor engagement.
POSITION RELATIONSHIPS
This position is a key member of the Development team and works closely with colleagues across the organization—particularly Marketing & Communications and Visitor Services—to manage membership logistics and advance Brandywine’s goal of growing and optimizing its membership program.
ESSENTIAL FUNCTIONS
MEMBERSHIP STRATEGY & PERFORMANCE
- Devise and implement strategies and campaigns to meet or exceed annual goals for:
- Member retention
- Member acquisition
- Member donor conversion
- Manage the Membership Office budget, including meeting revenue goals and ensuring expenses don’t exceed budget.
- Produce and analyze monthly membership performance reports; monitor progress against goals and recommend course-correction strategies as needed.
DONOR ENGAGMENT & FUNDRAISING
- Conduct qualification visits to acquire, retain, and upgrade leadership-level donors.
- Achieve agreed-upon performance metrics, including number of visits, solicitations, opportunities secured, dollars raised, and major gift referrals.
- Record all donor interactions, contact reports, and gift opportunities in the CRM database.
- Assist the Development team in cultivating and managing relationships with high-level members and donors and support additional development initiatives as needed.
COMMUNICATIONS & MARKETING
- Develop and manage processes, systems, and timelines for all membership-related communications, including acquisitions, renewals, upgrades, invitations, and general outreach, in collaboration with Marketing & Communications.
- Create and oversee all membership materials (e.g., thank-you letters, renewal notices, brochures, web content, email campaigns, newsletters, appeals, and special marketing materials), ensuring consistency with Brandywine’s design standards.
- Generate targeted mailing and email queries in the CRM database and collaborate with development partners on annual giving efforts.
PROGRAM ADMINISTRATION & OUTREACH
- Promote and grow membership onsite at the Museum and through email campaigns with Brandywine event participants and ticket buyers.
- Oversee the Community Pass Program, including solicitation as well as communications with partner organizations regarding benefits, pricing structures, renewals, blackout dates, to successfully implement the program.
- Evaluate membership program levels and benefits annually and recommend structural or programmatic changes to enhance value and performance.
- Maintain accurate and confidential membership records at all times.
QUALIFICATIONS
- 2–5 years of membership management or customer service experience in a cultural or environmental organization
- Exceptional customer service and relationship-building skills
- Working knowledge of philanthropic giving and donor recognition programs, with demonstrated success in revenue generation or gift solicitation
- Strong verbal and written communication skills with high attention to detail
- Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment
- Commitment to confidentiality and ethical handling of donor information
- Proficiency in Microsoft Office and comfort using CRM databases (experience with Altru or Raiser’s Edge preferred)
- Bachelor’s degree required
- Ability to lift up to 20 pounds
